Events Co-ordinator - Two Temple Place

This is an exciting role for an Events Co-ordinator at the magnificent private house Two Temple Place, headquarters of charitable trust, The Bulldog Trust.  

 

The Bulldog Trust is looking for an enterprising and highly personable candidate with exceptional attention to detail to support commercial events at Two Temple Place. 



Following the huge success of its Winter Exhibition and Grants programmes, the Bulldog Trust is building and expanding the commercial events business in order to support further successful charitable activities at its headquarters, a unique late-Victorian mansion on the Embankment.  The day-to-day role of the Events Co-ordinator will involve acting as the first point of contact into the Events Team at Two Temple Place, responding to enquiries and providing administrative, sales and operational support to the team. 

About the role:

This is a fantastic opportunity to join a dynamic organisation intent on maximising the charitable and commercial potential of its stunning headquarters.  Reporting to the two Events Managers who work part time in a job share, the Events Executive will be a crucial part of a small but very busy team. 

The Events Co-ordinator will be required to support private hire and the operation of the house by acting as first point of contact for the Events team to both internal and external stakeholders:

  • Ensuring the efficient and effective answering of all enquiries into the events office at the Bulldog Trust by phone, email and in person
  • Assist the Events Managers to generate agreed income targets through reactive and pro-active sales
  • Conducting site visits of Two Temple Place for potential clients and suppliers and to follow these up by providing quotes and additional private hire information
  • To operationally manage and attend events as requested to ensure a smooth operation and a high level of customer service
  • Effective management of the diary to ensure that all provisional and confirmed events are clearly recorded and communicated
  • Prepare client confirmation agreement and invoicing
  • Chase client payment and signed paperwork.
  • Ensure Health and Safety information for accredited suppliers is up to date
  • Keep all reporting spreadsheets up to date including invoicing and finance
  • To help ensure the internal operations of Two Temple Place are co-ordinated to deliver 5 star events
  • Monitor and upload content to maintain a strong social media presence for Two Temple Place events
  • To undertake any other relevant activities which fall under the general scope of this role as directed by the Events Managers

Candidate specification:

The Bulldog Trust prides itself on its extremely welcoming but efficient, professional attitude.  We are seeking a likeminded individual with excellent presentation who enjoys both working in heritage spaces and providing an exceptional standard of client care.

 

Our ideal candidate will have:

  • Outstanding interpersonal and communication skills, both written and verbal
  • Ideally worked in an events role in a similar heritage building or have sales/operational experience in an events environment such as hotels or wedding/conference venue, however not essential as training will be given.
  • A positive attitude and enthusiasm for providing excellent customer service
  • Ability to troubleshoot
  • Exceptional organisational skills and a meticulous eye for detail
  • Very high standards of presentation
  • IT literate including MS Office
  • Working knowledge of ‘Salesforce’ or other CRM systems
  • Good working knowledge of social media networks such as Twitter, Instagram and Linkedln
  • Enjoy working as part of a small busy events team
  • Knowledge of the heritage sector and enthusiasm for working in a unique heritage venue
  • An understanding of and sympathy for the broader aims and purposes of the Bulldog Trust

 

This is a full-time role offered on a 12 month contract with potential to move to a permanent contract. Please note that on occasion, the Events Co-ordinator will be required to work late evenings, weekend and Bank holidays, time off in lieu will be offered.

About The Bulldog Trust

The Bulldog Trust was founded in 1983, to act as a catalyst for charitable initiatives and has been based at its headquarters, Two Temple Place since 1999. Although a small organisation, with limited financial resources, we pride ourselves on our creativity and flexibility in designing our programmes, gifts and support to maximise the charity impact.

Two Temple Place is the focal point for many of our initiatives as well as an invaluable financial support through the revenues it generates from commercial activities. The house hosts many of our regular activities including the Engaging Experience Philanthropy Network (connecting business people with charities in need of specific skills), our partnership with the Fulbright Commission to develop philanthropy among its alumni, and marquee events for small charities that would otherwise not have the opportunity to access a similar setting.

As well as our charitable activities, we open Two Temple Place to the public for our annual Winter Exhibitions.  The Winter Exhibition Programme began in 2011 with the exhibition William Morris: Story, Memory, Myth. The current exhibition ‘John Rusklin - The Power of Seeing' runs from January to April 2019.
