Role Summary
The Events department currently stages in the region of 150 high profile events a year generating over £3million in revenue. The Natural History Museum is widely regarded as one of the most prestigious event venues in the world and is renowned for its premium level of service and delivery.
Working as part of the events sales team the Events Manager is responsible for maximising sales of the public spaces for events and filming. This includes: managing events from enquiry stage to the day of the event; overall management of the events database ensuring it is an effective tool for sales and marketing activity; ensuring that the sales targets are met and endeavouring to exceed them. The Events Manager also contributes to the sales and marketing strategy and delivery of the business and marketing plans.
This role description is liable to change as the role and structure of the group changes to respond to key priorities and objectives. In addition to this, this role will involve frequent evening/weekend working as events take place in the Museum.
Role competencies (requirements)
1. Degree (or equivalent), preferably in a hospitality related subject
2. GCSE (or equivalent) in Mathematics and English
3. Previous events management experience, preferably in a unique venue
4. Proven experience of sales and marketing, to include experience of negotiating
5. Proficiency in Microsoft Office (Word, Excel, Outlook)
6. Excellent planning and organisational skills
7. The ability to work on own initiative and as well as part of a team
8. Excellent approach to customer care and understanding of customer service
9. Knowledge of the events industry and industry suppliers would be advantageous
10. Knowledge of Priava diary management system would be advantageous
Main tasks and responsibilities (job description)
1. Taking initial sales enquiries for filming and events
2. Preparing and issuing event and filming proposals with a four hour response time to maximise sales conversions
3. Administering the events booking system (Priava) to optimise use of available space
4. Managing sales & showing clients around the venue
5. Producing all associated paperwork, including but not limited to: producing the monthly functions list and
distributing to relevant departments within the Museum, sending daily global alerts to
advise staff of external/internal events, produce all paperwork relating to licences for evening
events, invoicing pre and post event, recording all event notes
6. On confirmation, liaising with the client on all aspects of the event to help the client achieve their
objectives: use of the venue, choice of suppliers and advice on timings, content and design
7. Liaising with the clients’ chosen suppliers during the build up to the event, ensuring that the
museum and the client have all the necessary information prior to the event file being handed over
to the operations team
8. As the event manager, conducting a handover between the operations team and client, ensuring
their requirements are met on the evening of their event. This will include attending events in the
evening to oversee the event with the client
9. Support the Operations team with operational aspects of filming bookings when required
10. As part of the event sales team grow existing key accounts and assist with the development of
potential accounts
11. With the Senior Events Manager developing and implementing the marketing plan, and to lead on
agreed sales and marketing initiatives as required. These initiatives will include but not be limited
to allocation of advertising spend, organising promotional events, the planning and delivery of
stands at relevant exhibitions, use of social media outlets including Twitter and blogs, brochure
and website design, production and delivery of newsletters, attendance at networking events.
12. Undertaking regular competitor analysis to ensure the museum understands its position within the
market place
13. Representing the Natural History Museum at trade exhibitions
14. Continuously researching potential events/clients for the sales team to target
15. Utilizing the events database for Marketing Communications activities
16. Cleaning and qualifying of the events database on an ongoing basis
17. Handling enquiries for internal events and activity within the Museum
18. Ensuring that all Health and Safety measures are adhered to by both Museum staff and
contractors on an event and report any breaches to the operations manager on duty
19. The post holder is expected to undertake any other reasonable duties associated with the post as
requested by appropriate managers within the Department
